Separate file quality from submission requirements
This is VisaPilot’s preparation method for a manual review. It does not replace official rules on file type, size, colour or originals. Record those rules for your application channel before preparing a submission version.
Inspect every page
| Quality check | Action if there is a problem |
|---|---|
| Blur or glare | Rescan the original and check important fields. |
| Cropped edges or missing pages | Obtain the complete original and missing pages. |
| Wrong page order | Organise pages in original order and check numbering. |
| Unreadable or protected file | Check channel support and obtain a usable version. |
| Mixed applicants | Create separate inventories and identify ownership. |
Use clear filenames and versions
Give each item a document number shared by the file, inventory and working notes, such as 03-employment-original.pdf. If you rescan it, mark which version is being reviewed. Avoid putting a passport number in a filename just to distinguish cases.
Reopen compressed or merged files
Compression can reduce text quality; merging can omit a page. Reopen the whole file after the operation and check text, page count and order. A smaller file is not automatically a better submission file. Keep meaningful content intact.
Agree on sharing before a review
Start with application details and an inventory. Agree on the files needed, redaction and retention before sending sensitive documents. Unreadable details should be recovered from a genuine original, not reconstructed.
Frequently asked questions
Can I use phone photographs?
Check whether your submission channel accepts them. At preparation stage, inspect clarity, completeness and glare on each page.
Is there a universal file size limit?
No limit is prescribed by this guide. Use the actual channel instructions and recheck readability after compression.
Should I type over an unclear name or amount?
Do not reconstruct original evidence. Obtain a clearer original and check it again.
