The tables, references and worksheets are VisaPilot preparation tools, not a government mandatory checklist.
What a visa document index template does
An index helps you find evidence and track the final file version. It is a VisaPilot organisation tool, not a government checklist or a substitute for supporting documents. This example uses UK visitor preparation; do not assume it determines another country’s requirements.
Build one row per document
Give each document a short reference. Record the subject, issuer, covered period, original filename, translation partner, page count and check status. Keep status specific: missing page, awaiting translation, needs correction or checked. A checked label only records the checks you performed.
| Check item | Record |
|---|---|
| Reference and purpose | Use a unique ID and explain what the record supports |
| Issuer and covered period | Record who issued it and the dates it covers |
| Original and translation | Link both versions; record whether translation is needed |
| Pages, status and upload location | Count pages, name the open action and record the actual category |
Copy the working inventory
Use the worksheet below in a spreadsheet or text file. The sample reference B01 is a placeholder, not a document that everyone must provide. Add only relevant rows. Record an untranslated original and its translation separately, with a shared reference.
ID | Purpose | Issuer/period | Original file | Translation | Pages | Status | Upload category [B01] | [Funding record] | [Issuer and dates] | [Actual filename] | [T01 or not needed] | [Count] | [Action] | [Actual category] Final version: [date/version] / Outstanding questions: [items]
Reconcile the index with the upload instructions
Open each final file and check page order and legibility. Compare the inventory with the actual upload screen and any personalised checklist. Filenames and categories may change during upload; note where each file went. The index cannot confirm successful submission: use the application service’s confirmation and check the files it shows.
Frequently asked questions
Must I submit a document index?
This index is an optional organisation aid. Follow the instructions for your application rather than treating it as a mandatory document.
Should all documents be merged into one PDF?
Follow the upload service instructions. Keep documents and translations identifiable and check the result after any merge.
Can an index replace missing evidence?
No. It can identify a gap and the next action, but does not supply the missing evidence.
